Data Processing Overview

Clubs generally decide why and how their own club and member information is used. SwimPathway provides the hosted platform, technical operations and access controls that support those club workflows.

A formal Data Processing Agreement will define the parties' responsibilities for each commercial arrangement before general launch. This page is an operational summary, not that final agreement.

Ordinary club records are scoped to a club and accessed through active membership, approved relationships and focused permissions. The platform Super Admin role is separate and does not convert ordinary members into a shared cross-club identity model.

• Server-side checks for sensitive changes and status transitions.
• Private storage and short-lived access for restricted evidence.
• Audit records for material administrative and governance actions.
• Controlled application, email, import and authentication feature gates.

SwimPathway relies on specialist hosting and software services to operate the platform. Confirmed service providers, processing locations and contractual safeguards will be documented in the final commercial and data-processing materials rather than listed speculatively here.

The platform includes foundations for staged data export, correction, closure, retention review and legal hold. Deletion or anonymisation is not treated as an uncontrolled one-step action, particularly where audit, safeguarding, Health & Safety or other lawful retention needs may apply.
